Accident books in the workplace should be kept in a location that is accessible at all time and not locked away. Within an organisation there is often a nominated person responsible for accident reporting in the workplace; however accident books should remain accessible for completion if required even when the nominated person is not on-site.
Employers are required to record accidents in the workplace to employees, contractors and visitors from small accidents to major incidents. Accident books provide the best way of recording incidents in the workplace as they ensure that all necessary information is recorded. It is essential that the accident book is kept accessible so that accidents can be recorded at the time of the event so details can be accurately recorded.
In order to comply with the DAta Protection Act completed accident forms should be removed from the accident book and stored in a secure location without the risk of personal and confidential informaation being accessed.
